Dates Required:

From end of July 2019 for approx. 10 months up to August 2020

Working days & hours:

4 or 5 days Full time 9am-5pm in general, however negotiable reducing hours with 9am-3pm core time

Key Purpose:

This role is to provide secretarial and administrative support to Japanese MD and AMD and to provide support to Japanese expats, their family and Japanese visitors in both Japanese and English

Responsibilities:

  • PA to Japanese MD and AMD, including but not limited to diary management, travel/meeting arrangements, expenses, preparation of document/presentations as requested.

  • Screening telephone calls, enquiries and requests, and handling them when appropriate

  • Supporting with Japanese visitors, particularly from HQ and with internal staff on business trip to Japan.

  • Assist in the production of Monthly sales reports and finance reports to HQ, producing other reports as required.

  • Manage bank accounts for payments and receipt related to HQ

  • Support Japanese expatriates and their family when they arrive/leave the UK and during in the UK (obtaining visas, coordinating housing, Medical, Education etc)

  • Administering payroll, income tax and tax returns for Japanese expats liaising with tax consultant

  • Complete Visa applications and ensure sponsor licenses are kept up to date when required

  • Maintain a board papers and ensure the necessary authorization for the documents and filing

  • Handle Travel Providers, Hotels when required

  • Updating and maintaining HR data base for Japanese expatriates

  • Letters and general filling

  • Dispatching of documents/goods to Japan

  • Ad hoc administration and project support as and when required

Experience:

  • Must have a valid visa to be able to work with no restriction

  • Previous secretarial and administrative experience with a background of HR in Japanese company would be advantageous, but not essential.

  • Previous work experience in Japanese company preferred

Skills:

  • Fluent in both English and Japanese at business level

  • Proficient in MS Word, Excel, Outlook, and Power Point

  • Able to maintain confidentiality & discretion;

  • Proactive and positive attitude and flexible to business demands
